Interesting question.
The basic time frame is governed by the L.I.
This time frame is governed by two primary variables: (1) the date of the meeting and (2) the length of time for the submittal of agenda items.
1. The recent Imperial Estates meetings were held during either the 1st or 2nd week of November.
2. The Agenda for the Imperial Estates must be published 2 months prior to the meeting (Section III, C, 1 d).
3. The L.I. specifies that Agenda Items may be submitted up to 15 days before the deadlines (Section III, C, 1, e).
So . . .
If 2 months are given for agenda items and the meeting is to be held during the 1st or second week of November of 2009, the call for items would have to be in either the 1st or 2nd week of July of 2009.
If 1 month is given for agenda items and the meeting is to be held during the 1st or 2nd week of November of 2009, the call for items would have to be in either the 1st or 2nd week of August of 2009.
Ultimately, the Secretary of the BoD schedules the Imperial Estates Meeting and makes the call for Agenda items.
I anticipate that the call for Agenda items will occur in the near future.
