Website Issues/ Requests

Postby Gerrit Kendel » Tue Jun 03, 2008 12:06 pm

Greetings all!

I have a quick question; why is all of the Exchequer forms and manuals on Excel sheets? Did something happen to the original forms?

Thanks!!

When the Imperial manuel was updated a couple years ago, the Imperial Exchequer used Excel to do the updating. That's why it's all on Excel sheets now.

I think I have the old versions still if you need them.

Well I know at least the Money Request Form isn't Excel. Thomas made those only about 2 years ago. But it's not on the website.

They were made in Excel so all you had to do is type in the numbers and it will do all the work for you. the form you are looking for i think is in the Manual of Ministry as well.

I believe the issue is that Viscount Sir Thomas of Galandor performed a ministry project about 2 years ago in which he re-did the imperial forms for the imperial site. This was submitted to the Imperial peers and passed as the "approved" Imperial forms. Those forms are no longer posted. While we appreciate the presence and convenience of the Excel forms, they are not the ones that the Board and Imperial Peers accepted.

If we are going to change the forms again, we need to go through the correct processes.

In 2006, per the meeting minutes, the revised (currently posted) Exchequer Manual, with included forms, was approved. The revised (currently posted) Manual of Ministry, with included forms, was also approved. There is no mention in the meeting minutes of a re-do of imperial forms.

Per the 2007 meeting minutes, there are no more current versions of forms and/or manuals of these two items. As such, the ones posted (which were retrieved from the old site and merely reposted in the new webdesign) are the ones to operate by. All manuals, forms, and handbooks that publicly existed on the old site are available on the new site.

It should be noted that the following financial forms are included in the Manual of Ministry PDF:
Autocrat's Event Financial Report
Request for Monies

Due to the simultaneous approval of both Request for Monies forms, there are some differences including:
Breakdown of money allocation (Exchequer manual form version)
Check Number issued (Exchequer manual form version)
Larger Reason Area (MInistry Manual form version)
Membership Number (Ministry Manual form version)
Witness Signature (Ministry Manual form version)

No other approved versions of the Request for Monies forms exist as only the most recent approved versions of manuals, handbooks, and forms are applicable.
